1. THE DEPLOYMENT OF RESEARCH FUNDS;
  2. AUTHORIZATION TO CONDUCT RESEARCH PERIODS ABROAD
  3. AUTHORIZATION TO CONDUCT ACTIVITIES NOT INCLUDED IN THE EXPECTED AND ADDITIONAL TEACHINGS

These guidelines intend to provide instructions to follow for students of the PhD in Humanities, Technology and Society who intend to request from the tutor, the PhD Coordinator, and the PhD Council the authorization for:

  1. to the deployment of research funds
  2. conducting a research period abroad
  3. the conducting and recognition of activities not included in the expected and additional teachings

The Unimore PhD Regulations provide that each doctoral student has a budget available for research activity in Italy and abroad amounting to no less than 10% of the amount of the scholarship.

For the current academic year:

  • the amount of the research fund is €1,624.30 per year
  • the use of the budget will start from the first year of the PhD
  • the budget may concern expenses incurred in the year to which it refers
  • it is possible to use the unused budget residue (cumulative in the following year)
  • mobility costs, accommodation costs, registration costs for conferences, seminars, summer schools, specialization schools and research costs will be considered reimbursable, such as the purchase of software (only if this software is necessary for conducting the research project). The purchase of computers and books will not be considered a reimbursable expense, membership in associations is refundable only if membership is mandatory for participation in conferences
  • PhD students are strongly encouraged to have a meeting with the tutor(s) to plan the use of the funds to avoid any impromptu requests

The administrative procedure needs particular attention, and its completion takes time; therefore, we recommend you start the procedure early.

a.1. Procedure

  1. Request the tutor’s authorization via e-mail
  2. Forward the positive opinion of the tutor to the PhD Coordinator (at the email address: dottohts.did@unimore.it), specifying:
    • title of the conference, seminar, etc.
    • if a presentation is planned, it is necessary to indicate the title of the paper/work that will be presented
    • dates/duration of the event
    • place and country
    • any registration cost (if the PhD student is aware of it)
    • if followed in person or remotely
    • the link to the event website or event poster/program

NB: To be reimbursed, the expenses must be evidenced by all the original receipts, that will be sent to in charge administration.

b.1. Stays abroad up to 6 months

Authorization from the PhD Coordinator is required for stays abroad of up to 6 months.

Furthermore, if the PhD students with scholarships wish to request a 50% increase in the scholarship, they must send an email to the Doctoral Office (segr.dottorati@unimore.it) or to the financing body of the scholarship, at least 15 days before departure, the following documentation:

  • request form for authorization to stay abroad (signed and completed);
  • authorization from the PhD Coordinator for the stay abroad;
  • invitation letter from the foreign institution where the research will take place.

b.2. Stays abroad exceeding 6 months

For stays abroad longer than 6 months, authorization from the Teaching Body is required.

Furthermore, if the PhD students with scholarships wish to request a 50% increase in the scholarship, they must send an email to the Doctoral Office (segr.dottorati@unimore.it) or to the financing body of the scholarship, at least 15 days before departure, the following documentation:

  • request form for authorization to stay abroad (signed and completed);
  • authorization from the PhD Coordinator for the stay abroad;
  • invitation letter from the foreign institution where the research will take place.

The request for authorization and recognition of training activities not included in the PhD student’s training plan approved at the beginning of the academic year or not included in the additional teaching offer published on the PhD website (and therefore already assessed as compatible with the PhD) must be forwarded according to the following procedure.

c.1. Procedure

  1. Request the tutor’s authorization via e-mail
  2. forward the positive opinion of the tutor to the PhD Coordinator (at the e-mail address: dottohts.did@unimore.it) accompanied by the request to carry out the activity, indicating:
    • description of the training activity
    • compatibility between the research project and the identified training activity;
    • estimated training hours
    • start and end dates of the activity.
